Case Study — Custom eCommerce

The WooCommerce configurator that replaced 347,820 variations

Floral Keepsakes by Lauri — flower preservation studio

Now licensed to other studios

Floral Keepsakes by Lauri preserves wedding and memorial flowers into framed heirlooms. Every order is one of a kind. We rebuilt the storefront so it could finally sell the way the studio actually works — without a single product variation getting in the way.

Frame types multiplied by sizes, colours, mats, upgrades and add-ons across seven products. Their old platform had a hard ceiling on variations — they hit it long before they could list what they actually sell.

The Challenge

Too many product variations for an off-the-shelf store

Every keepsake Lauri creates is built to order. A customer picks a frame type, a size, a frame colour, a mat board, a floral design, a delivery method — and each choice changes the price.

On the old platform, the only way to offer choices like that was to pre-build every possible combination as its own product variation. Across seven products, that math explodes fast. The platform has a hard ceiling on variations, and the store hit the wall long before it could describe the actual product.

The store couldn't describe the product. Customers couldn't order what they wanted. Every custom request turned into email back-and-forth instead of a checkout.

The obvious question is why not just move to Shopify or Squarespace. Because they run into the same wall. Both put a hard limit on how many options and variations a single product can have, and a configurator this deep blows straight past it. The problem isn't which hosted platform you pick — it's that hosted platforms cap product complexity by design.

Shopify

Caps the number of options and variations per product. A configurator with this many combinations simply can't be built.

Hits the wall

Squarespace

Even tighter limits on product variants and add-on fields — the exact ceiling they'd already run into.

Hits the wall

WordPress + WooCommerce

No variation ceiling when choices are captured on the order instead of pre-built. Full control over the flow, the pricing and the dashboard — which is exactly why we built here.

No limit

They didn't need a bigger variation limit. They needed a platform that stopped thinking in variations altogether — and that meant a custom WordPress build.

The Approach

One guided configurator, eight steps, no variations

Instead of forcing the store to pre-build every combination, we built a configurator that captures the customer's choices as they go and writes them straight to the order. Each frame type is a single product. That one architectural decision made the ceiling disappear.

  1. 01

    Choose your frame size

Eleven sizes from 5×7″ to 20×24″, each showing its own price from $380 up — and greying out live when a size is out of stock.

  2. 02

    Choose frame style & colour

Style number and finish, with included options and upgrades priced differently and labelled as such.

  3. 03

    Choose mat board colour

Decorative mats (nine colours, included) or suede (twenty-one colours, +$25), then the specific swatch.

  4. 04

    Floral design

The arrangement style for the preserved blooms, shown with examples so the customer knows what they're choosing.

  5. 05

    Include a keepsake?

Invitations, ribbon or other mementos added into the display — an optional step that only affects the price if used.

  6. 06

    Your event details

Orientation, event type, the names of the people it's for, and the date — captured on the order so the studio can personalise the piece.

  7. 07

How will you send your flowers?

Ship the blooms or drop them off by appointment — a real part of how Lauri works, built into checkout instead of handled by email.

  8. 08

    Your flower notes

Optional free text for flower types and special requests, travelling with the order so nothing gets lost.

The price recalculates in real time as selections change, so what the customer sees at every step is exactly what they pay at checkout. On the front end it's a calm, guided flow. Behind it, there isn't a single product variation.

On Screen

The storefront and the back office

One system, two views — what the customer builds, and what the studio runs it from.

The configurator
Custom WooCommerce product configurator showing conditional logic — step one open with frame sizes and pricing, then step three with earlier selections collapsed and mat board colors revealed
Each answer folds up, carries its price forward, and opens the next step. On the left, only step one is open and every frame size carries its own price, with the 20×24″ showing as out of stock in real time. On the right, the customer has chosen 12×12″ at $710 and Style 810 in Rosewood — both steps have collapsed to a single line holding that choice, and step three has opened with the mat board options. Nothing here is a WooCommerce variation; every selection is written to the order as it's made.
The order desk
Custom WooCommerce order tracker dashboard listing configurator orders with product options, frame status, per-order chat, and SMS opt-in for a made-to-order floral preservation studio
Every column is a choice the customer made. Product, style number, frame colour, size, mat, stand, ribbon, shape — with the chat thread, SMS opt-in badge and production status on each row. Customer emails and phone numbers are blurred here for privacy.
How it's organised
Order tracker filtering and tab structure separating configurator orders, standard shop orders and completed work
Configurator orders, shop orders and completed work each get their own tab. The list filters by customer, product, frame status or order status, and exports to CSV. Frame status and order status are the two dropdowns that drive the customer's tracker and trigger their notifications.
What We Built

A storefront and a back office, working as one system

The configurator is the part customers see. The order tracker is what happens next — chat, text updates, invoices and payments all running through the order itself, so Lauri can manage the whole studio without leaving her dashboard.

01

Guided configurator

A step-by-step product builder with live, rules-based pricing — and zero WooCommerce variations behind it.

02

Customer dashboard

Buyers log in to see every detail of what they ordered, follow the piece through production, and handle everything in one place.

03

Custom order tracker

Built from scratch to move each order through the studio's real production stages, and to notify the customer automatically as it advances. No off-the-shelf plugin handles a four-to-six month build time.

04

Chat inside the tracker

Customers message the studio directly from their dashboard, with the full thread saved on the order. No more hunting through email for what was agreed.

05

SMS notifications

Integrated with Quo so status changes, messages and payment requests reach the customer by text — where they'll actually be seen.

06

Editable invoicing

Branded PDF invoices generated from the order, edited as the piece evolves, and sent to the customer automatically — all without leaving WordPress.

07

Square payment requests

Deposits, balances and mid-project upgrades collected by sending a payment request through Square, tied to the order it belongs to.

08

Order desk & inventory

One admin view for incoming orders, messages and status updates, with stock tracked per option so the store reflects what's truly available.

09

Technical SEO

Clean structure, fast templates and search-ready foundations built in from the first line, not bolted on later.

The Outcome

A store that sells the way the business actually works

78+

Orders placed since the new website went live — starting from day one, and still climbing. The configurator didn't just fix the storefront; it streamlined how the whole studio runs, turning scattered email requests into clean, trackable orders.

0

Product variations behind the store — the 347,820-combination ceiling is gone for good.

1

Dashboard to run everything: orders, chat, text updates, invoices, payments and inventory in a single place.

Combinations a customer can now order, each one captured cleanly on the order.

Client Satisfaction

What Lauri said

So glad that we found Tamara. She has been a pleasure to work with. We were not easy clients because we really didn't know exactly what we needed and how to make it happen. She has taken us through step-by-step and our website is coming out beautifully — would definitely recommend her!

In the same boat? We're licensing the configurator

If you run a floral preservation studio and your store can't handle the way you actually sell — too many frame sizes, mats, styles and add-ons for any variation-based platform — the plugin behind this build is now available to license, including the order tracker, customer chat, SMS notifications, invoicing and Square payment requests.

We handle setup ourselves, mapping your products, sizes and pricing rules before anything goes live. Get in touch and we'll walk you through it on a short call.

Common Questions

What a custom product configurator can do

What is a WooCommerce product configurator?

A product configurator lets customers build a custom product step by step — choosing options like size, colour, material and add-ons — while the price updates live. For made-to-order businesses, it replaces long lists of pre-built variations with one guided experience that's easier to buy from and far easier to manage.

My store has too many product variations. What are my options?

Most platforms, including Squarespace, Shopify and standard WooCommerce, cap how many variations a single product can have. When your combinations run into the thousands, you hit that wall. A custom configurator solves it by saving each customer's choices to the order instead of pre-building every combination — so there's no practical limit at all.

Can a configurator show live pricing as customers choose?

Yes. We build rules-based pricing so each selection adjusts the total in real time. The price a customer sees at every step is exactly what they'll pay at checkout, which removes surprises and reduces abandoned carts.

Will customers be able to track their custom orders?

They can. We build a customer dashboard with an order tracker that follows the piece through your real production stages, and customers can message you directly from it — with the full conversation saved on the order. Status updates and messages can also go out as SMS text notifications, so customers hear from you without having to log in and check. It's especially valuable for made-to-order work with longer production times.

Can I send invoices and take payments from inside the order?

Yes. Invoices are generated from the order itself, and you can edit or modify them as a custom piece evolves — then send them to the customer automatically. Payment requests go out through Square for deposits, balances and mid-project upgrades, each one tied to the order it belongs to, so nothing has to be reconciled by hand later.

Can I license this configurator for my own floral preservation studio?

Yes. The plugin built for this project is now licensed to other floral preservation and made-to-order studios, including the order tracker, in-dashboard customer chat, SMS notifications, editable invoicing and Square payment requests. We set it up for you — your products, sizes, options and pricing rules mapped in and tested before launch. Contact us for details.

How much does a custom configurator build cost?

Custom configurator projects are quoted to scope — the number of products, the complexity of the options and pricing rules, and the back-office tools you need. These are custom builds for businesses ready to invest in a storefront that fits their product exactly. Reach out with a bit about your product and we'll put together a proposal.

Is your product too custom for an off-the-shelf store?

If your business is built on made-to-order, personalised or configurable products — and your current store is fighting you on it — that's exactly the kind of build we do. Let's talk through what your storefront should actually be able to do.
